Solution Hitachi JP1/Automation Solutions For Job Management

In the first half of 2010, Toshiba Singapore started searching the market for a job management solution for its Electronic Data Interchange (EDI) jobs.

The company listed down a few key criteria that the potential solution must fulfill. The first of these is the ability to execute jobs when certain events like file transfers took place. There should also be automatic system alerts when jobs were not processed properly.

Crucially, the solution must be compatible with the job scheduler in Microsoft Dynamics NAV.

Toshiba Singapore finally found its ideal solution in Hitachi Job Management Partner 1/ Automatic Job Management System (Hitachi JP1/AJS). Unlike all other alternatives, it met the stringent requirements of the company and delivered fantastic results.

Improved job creation, scheduling and status monitoring

Hitachi JP1/AJS simplifies the task of defining and coordinating jobs, which is made even easier by the availability of templates. The job definition information management template is helpful for creating, updating or deleting a large batch of jobs. The intuitive command screens enable the easy customization of jobs according to the type of user. These jobs can be modularized according to the objective of the users, including separate menu and rights for system administrators, developers and operators.

With Hitachi JP1/AJS in place things are now much more efficient. There's no longer a need to dedicate one person to ensure that jobs run properly and team members now have more time to spend on other tasks. Job management has become a minor responsibility and we no longer worry about delays and accuracy.

In the event that a job is not processed correctly, the IT staff and end-users could now notified by email. Upon receiving the alert, the IT team can then log onto the Hitachi system to solve the problem.

The status monitoring of the jobs is enhanced with color-coded icons via the jobnet monitor of JP1/AJS. The colors of the different job execution status can be customized accordingly and these greatly improve the monitoring of the job execution status for Toshiba's IT staff. In addition, the history of job schedules can be requested upon at a glance for status monitoring and any anomaly can be easily identified. These are being monitored through list screens that display comprehensive information including the progress status, scheduled end date and time, and remaining number of jobs. The specific jobnets can be used as monitoring targets, thus the status of selected jobs can be observed instantly. The list display format also aids in evaluating the affected jobs and jobnets by harnessing job delays or abnormal terminations.

Reduced manual effort by IT team and end-users

The wide-ranging suite of automated features allowed Toshiba Singapore to reduce the number of man-hours from work performed manually by the IT staff and end-users.

Advanced search conditions that are provided with the suite of features improve the efficiency of Toshiba Singapore's IT team. This is because the search capabilities allow them to locate jobnets speedily. Also, the jobnet editor can be called upon from the search result screen that means that the jobs can be edited or restarted from it instantly.

Another key feature of the JP1/AJS lies in the ease of script creation with its scripting language. This enables the simple creation of complex batch jobs, thus significantly reducing the need for manual effort. JP1/AJS provides an execution environment that has over 130 different commands and the IT staff only requires the relevant parameters for each statement to be entered. The IT team can obtain the results of the program execution and know which command to launch next such as the automatic switching of programs. As a result, this also provides enhanced adjustability to processes.

Improved data accuracy

The automated features of the job scheduling system have dramatically lowered the risk of human error. For instance, the regular updates of the bill of material (BOM) lists have resulted in fewer rejections and abnormalities. Also, the user-centric design of the command screens hides away irrelevant menus for the different user roles and the enhanced user interface reduces potential erroneous operations from the users.

Less paperwork was needed as fewer reports needed to be made. This in turn helped bolster Toshiba Singapore's profile as a 'green' company.

Compatibility with ERP system

Importantly, Hitachi's JP1/AJS is able to be in sync with the Microsoft Dynamics NAV ERP system that Toshiba Singapore uses. The installation process of the JP1/AJS is a seamless integration to the original system that was in place in the company.
